Overview

Tasks organize the follow-up that needs your attention. A task connects an action to a person, with instructions, an assignee, a priority, and an optional due date. Use tasks to review an email before sending it, make a call, or prepare for a conversation. Open Tasks to work through your queue. To do shows open tasks, and Done shows completed or skipped work. Open a task to read its instructions alongside the person’s details and engagement history.

Where tasks come from

Tasks can be part of planned outreach, a response to an incoming email, or a reminder you create during your work:
  • A sequence creates a task when a person reaches a manual email, phone call, or action item step.
  • Your workspace’s reply rules can create tasks for responses that need follow-up, such as a request for more information or an offer to meet.
  • You can create a one-off task for a specific person whenever you need to schedule an action outside a sequence.

Sequence tasks

The sequence step supplies the draft or instructions, priority, and due date. For example, a call step can give the rep notes to review and four hours to make the call after the task becomes ready. The sequence’s ruleset chooses who receives these tasks when the person is enrolled. Automatic enrollments, such as those from plays, and manual enrollments can use different assignment settings. Completing or skipping a task lets an active enrollment proceed to its next step. To stop the remaining outreach in that enrollment, use Remove from sequence. See sequence step types to configure these tasks and their timing.

Work with tasks

Start with Complete tasks to organize your queue, review a person’s context, and record the outcome. Use Create and manage tasks to add one-off follow-up, adjust timing, or update several tasks together. For a group of phone-call tasks, use the power dialer to work through the calls in one session. Use Task settings to configure reply rules, phone enrichment, and sequence task skipping for your workspace.

Task notifications

Notification preferences determine where you receive task alerts. If a sequence task goes to an unexpected teammate, review its task assignment settings as well as your notification preferences.
